Equipment rental rate calculator with worked examples
Use visible assumptions to compare daily, weekly and monthly rate paths. Keep the calculation separate from the availability check for the equipment a customer needs.

Compare rate paths for the same 10-day rental
| Rate path | Formula | Example result |
|---|---|---|
| Daily only | 10 days × $145 | $1,450 |
| One week + 3 days | $390 + 3 × $145 | $825 |
| Two weekly blocks | 2 × $390 | $780 |
| Monthly floor | 1 × $1,180 | $1,180 |
The lowest mathematical result is not automatically the correct contract price. Define whether partial weeks, minimum periods, weekends, transport, tax, deposits and damage charges apply.
Use utilization to test the rate—not to hide downtime
If six days are excluded because the equipment is on a planned maintenance hold, document that denominator. If the unit is merely idle, those days normally remain available capacity. Keep utilization definitions stable when comparing periods.
Connect the approved rate basis to the rental record
Rate card
Keep the approved daily, weekly and monthly inputs with an effective date and product.
Rental window
Calculate from the agreed start and end convention; avoid mixing calendar days and 24-hour periods.
Exception decision
Record discounts, overrides and the person who approved them rather than silently changing a formula.
Questions about equipment rental rates
What does this calculator estimate?
It compares entered daily, weekly and monthly rates for a selected rental duration and estimates simple booked-days revenue. It does not calculate tax, deposits, damage charges, finance costs or accounting entries.
Which rate should apply to a multi-day rental?
That depends on your approved price book. The calculator shows daily extension and whole-week/month alternatives so you can compare them; it does not silently choose a contract rule for you.
How is utilization calculated?
The simple scenario divides expected booked days by available days in the period. Define whether unavailable maintenance days remain in the denominator before using the measure operationally.
Can the result be used as a customer quote?
Treat it as an internal scenario until your team verifies the product, period, rate card, discounts, taxes, fees and contract terms. A formal quote needs your approved commercial process.
Can Jodoo store the calculation with a rental order?
Yes, you can configure fields and formulas for your rate policy, then retain the chosen basis on the order. Test boundary cases before using a formula for live pricing.
