How to organize a maintenance spare parts storeroom

Give each part a reliable identity, each bin a clear balance and each withdrawal a reason. Build the procedure around the repairs your team must keep moving.

The example connects maintenance jobs, equipment compatibility, requests and stock movements. It is not a financial inventory or predictive-maintenance system.

Start with identity, not a longer list of descriptions

A part number identifies what it is

Record the manufacturer, specification and stocking unit. Normalize duplicate descriptions before importing them: “6205 bearing,” “pump bearing” and an abbreviated supplier label may refer to the same item—or to variants that must remain separate.

Check the actual specification before merging records. Keep supplier references separate from your catalogue identity so a supplier change does not create a second stock item.

Separate criticality from how often a part moves

A low-usage part is not automatically excess stock. Review the equipment it supports, the consequence of failure, replacement lead time and availability of a genuinely approved substitute. Critical-spares decisions need maintenance judgment as well as consumption history.

Agree when quantities change before opening the storeroom

  1. A request records a need

    Identify the job, part, stock position, quantity and date. A pending request does not reserve stock. The reviewer must check the current available quantity and equipment suitability.

  2. An authorized allocation reserves the part

    It reduces what can be promised to other jobs, but not what is physically on the shelf. Assign someone to release unneeded reservations when a job is changed or cancelled.

  3. A posted issue records the withdrawal

    Record what the storekeeper actually hands over, including a partial quantity. Use the approved request so the remaining allocation falls with the issue.

  4. A return needs its source and condition

    Reference the original issue and separate usable parts from damaged or uncertain returns. Receiving a part physically is not the same as making it available for another repair. Keep it in a held location until inspection. Record who approves reuse or disposal and the quantity affected; retain both that decision and the original return.

  5. A receipt needs a completed delivery

    Record the supplying document or reference and the accepted quantity. An order confirmation or promised date is incoming supply, not on-hand stock.

The important distinction is the release: two bearings were promised but never issued, so freeing that promise changes availability without changing the physical stock. A returned bearing, by contrast, must have an original issue to return against.

Use the minimum as a review trigger, not a purchase order

Consider demand and supply together

Look at upcoming maintenance, existing allocations, accepted incoming supply, supplier lead time, pack sizes and usable stock. A planned shutdown can create a one-time requirement that a routine consumption average will miss.

For example, a sensor used only once last year may still justify one spare if it stops a production line and takes fourteen days to replace. A routine filter may instead need a minimum based on scheduled changes and supplier delivery time. These are illustrative decisions, not calculated stocking recommendations.

Record why a minimum was chosen and who reviews it. A changed machine or longer supplier lead time may matter more than last month’s issue count.

Avoid ordering the same shortage twice

Keep the buyer, supplier reference, quantity to source and expected receipt together. Before raising another request, check the open follow-up and its latest supplier response.

Let the form change with the inspection decision

The Jodoo inspection form asks for a release check when the inspector selects “Release to usable stock.” Selecting “Dispose” hides that check and shows a disposal-method choice instead. Inspection notes, the linked return and the reviewer remain part of both paths.

This is a useful pattern for your own rules: keep the shared identification fields, ask only for the detail that changes the decision, and send the outcome to the responsible reviewer. An authorized business administrator can adjust those choices and conditional fields as your procedure changes.

What is blocking a job?

Compare required dates, authorized allocations and stock still to be issued. Agree the next action for a stopped asset before discussing routine low-stock items.

Which promises are no longer valid?

Review cancelled jobs, old reservations and late supplier dates. Release an unused allocation through the stock process rather than clearing it with an unexplained balance edit.

Which records need correction?

Investigate duplicate part identities, unknown units, questionable returns and retired parts still sitting in active bins. Keep the physical label and digital record aligned.

Questions when setting up a maintenance storeroom

Should we remove every part that has not moved for a year?

No. A rarely used critical spare can protect equipment with a long replacement lead time or no acceptable substitute. Review the supported equipment, failure consequence, lead time, condition and obsolescence before disposing of it. Lack of recent consumption is a review signal, not a disposal rule.

How should we handle parts with uncertain identification?

Keep them outside available stock until someone identifies their specification, equipment suitability and condition. Record the investigation and physical location. Creating a confident-looking catalogue entry from an unreadable label can lead to the wrong part being fitted later.

Who should approve substitute parts?

Assign the decision to someone qualified to assess the equipment requirement, not simply the person who found the alternative. Record the exact approved equipment-part pair and any restrictions. A supplier’s similar description or matching size is not, by itself, approval to substitute.

Is a minimum stock level the quantity we should order?

Not necessarily. The minimum is a review trigger. The order quantity also depends on existing commitments, incoming supply, pack size, target stock and whether the requirement is recurring or a one-off shutdown. Review those factors before placing an order.

What if the opening stock count is unreliable?

Separate confirmed balances from unverified locations. Count and reconcile the affected bins before relying on their available quantities. Starting with a guessed balance makes every later calculation precise but untrustworthy.
