Founded in 2001, Atlasat is one of Indonesia’s early Internet Telephony Service Providers (ITSPs). Over the past two decades, the company has evolved significantly, expanding its portfolio beyond traditional telephony to offer comprehensive digital solutions. Today, Atlasat provides advanced collection applications, a big data solution known as Datawiz for skip tracing and eKYC, and AI-driven tools. Serving over 1,000 prominent companies, their primary clients are concentrated in the banking, multi-finance, fintech, and insurance sectors.

The Challenge: Paper-Based Processes Limited a Growing Tech Provider

Atlasat has built its reputation on delivering cutting-edge telecommunications and data solutions to its clients. Internally, however, some daily workflows still relied on paper forms and scattered message updates. IT and sales teams still had to manage approvals, activity updates, and expense-related records through manual workflows.

Before discovering Jodoo, Atlasat faced significant bottlenecks in their daily operations. For example, the IT team’s overtime applications and reimbursement requests required employees to fill out physical paper forms. These forms then had to be physically handed to supervisors for a manual signature.

This manual chaos led to three major problems:

Time-Consuming Approvals: Core processes like IT overtime requests and expense reimbursements were entirely paper-based. Employees had to fill out physical forms and track down managers for handwritten signatures. The physical routing of paper forms caused significant delays. Inefficient Tracking and Reporting: For employees working from home (WFH) or visiting client sites, reporting was done informally via WhatsApp groups. Supervisors and the HR department had to manually sift through chat histories to collect data, compile reports, and calculate overtime hours. Lack of Real-Time Visibility: Management, including the Sales Director, lacked a centralized system to monitor team activities. They had to constantly ask for progress updates, which disrupted workflow and reduced overall productivity.

Atlasat knew they needed a digital solution to monitor daily operations efficiently. They initially evaluated other platforms, including Lark and Microsoft Office 365. However, they found Lark to be too heavy and slow to load, especially on mobile devices. Microsoft Office 365, on the other hand, proved to be overly complex, particularly when it came to setting up automated workflows.

Once an employee finishes a late-night task, they log their hours and specific work details digitally. This triggers an instant notification for supervisor approval. HR department no longer needs to search through chat logs or manually tally approvals at month-end; they now have a clean, exportable report of all approved overtime, ready for payroll processing.

Field Sales Empowerment & Financial Transparency

Atlasat took a hybrid approach by modifying an existing CRM template to fit their unique organizational structure. They added a custom “Reimbursement Workflow” specifically for sales teams on the road. When a sales representative incurs an expense during a client visit, they can submit the claim instantly via their mobile device, attaching photos of receipts. This has not only accelerated the reimbursement cycle but has also given the finance team a clearer, more traceable record of field expenses, reducing the risk of lost receipts or disputed claims.

Remote & Field Monitoring (From Scattered Messages to Structured Reports)

For employees working from home (WFH) or those conducting on-site customer visits, Atlasat created a “Daily Activity & Absence” form. This form serves as both a digital punch-clock and a progress report. Instead of sending fragmented WhatsApp messages, employees now submit structured daily reports. Sales directors and technical managers can view real-time dashboards to see exactly where their teams are and what progress has been made on specific projects. This “self-service” data model could reduce the need for constant “status check” meetings, freeing up hours of leadership time every week.
