How this tracker helps
A resource allocation tracker should identify the work, person, dates, hours, owner, state, priority protection, and delivery health. It should distinguish a proposal from a confirmed commitment and keep changes traceable.
- Five lifecycle states represented
- Approved demand stays linked
- At-risk work opens to a decision
Allocation record
Capture the commitment, not merely the person’s name
These fields make the register useful during a change.
| Field group | Included fields | Question answered |
|---|---|---|
| Work context | Demand ID, work name, team | What promise is consuming capacity? |
| Resource context | Person ID, person name | Who is committed? |
| Capacity | Allocated hours, start, end | How much capacity and when? |
| Control | Proposed, confirmed, active, changed, completed | Is this idea or commitment? |
| Trade-off | Priority protection, delivery health, owner | What may move, and who decides? |
Populated example
Inspect normal and exception states before adapting the template
The App includes five allocations so the first view is not an empty address book.
Confirmed client delivery
A 32-hour onboarding allocation fits before planned leave begins.
At-risk active work
A 28-hour integration allocation competes with launch support.
Blocked proposal
An analytics allocation remains proposed because the person is already over capacity.
Completed internal work
The allocation remains available for plan-versus-actual learning after closeout.
Change handling
When the plan changes, update every affected decision
Do not simply overwrite dates and hope downstream views remain credible.
Record the reason
Connect the change to demand, availability, actual effort, or priority.
Check displaced work
Open other allocations for the same person and date window.
Confirm the new commitment
Update state, dates, hours, protection, owner, and health.
Close the exception
Confirm that the overload or gap is resolved and preserve the decision history.
Before you save
Check the people and work affected by an allocation change
One edited row can create a second conflict elsewhere if the register is not connected.
Open the person’s overlapping commitments
Compare dates and hours across every active or protected allocation.
Recheck the source request
Confirm that the revised person, timing, and effort still satisfy the approved need.
Notify the work owner
Make the delivery consequence visible instead of treating staffing as an isolated administrative edit.
Refresh workload and capacity views
Confirm the changed record produces the expected portfolio and team signals.
Practical questions
Questions teams ask about the allocation register
Confirm how proposals, approved commitments, changes, and linked delivery work should be recorded.
Can operations teams adapt the allocation tracker themselves?
A trained Jodoo administrator can add fields, choices, views, routing, and dashboards without rebuilding a conventional application. Changes still need ownership, testing, and communication—especially when they affect approvals, access, or reported measures. A trained administrator can change allocation fields, states, views, and review paths as long as downstream measures are retested.
Are allocated hours enough to approve a commitment?
Hours are a practical denominator, but they are not sufficient by themselves. The example keeps skill, role level, time zone, availability, dates, priority, and delivery health beside the hours so that a mathematically available person is not mistaken for the right person. The register must also show date overlap, skill fit, priority protection, state, and delivery health.
Can one person have several allocations?
Yes. The team workload and capacity views aggregate the commitments conceptually, while each allocation remains a separate record with its own work, dates, hours, state, and health.
Should tentative work appear in the allocation register?
It may appear as Proposed, but it should not be confused with confirmed capacity consumption. Keep pipeline demand and pending staffing requests visible in their own views.
Does the template include project tasks?
No. It allocates capacity to work demand. Use the connected project or task system for detailed execution and keep stable identifiers between the systems.
