Facing the complexities of managing residential, commercial, and industrial solar projects across 8-10 departments, Voltek struggled with “information silos” and the limitations of rigid legacy tools. The Challenge: Manual Processes Limit a Growing Solar Energy Provider
In the rapidly growing renewable energy market of Malaysia, Voltek Energy established itself as a key player, offering end-to-end solar PV solutions for residential, Commercial & Industrial (C&I) clients. However, as the business scaled, the “administrative friction” of traditional management methods began to hinder growth, making the management of complex operations increasingly difficult.
To deliver a complete solar solution, Voltek Energy requires seamless coordination across 8 to 10 different departments, including Sales, Design, Finance, Project Management, and Operations & Maintenance. However, their internal processes were heavily reliant on manual methods.
The team depended on WhatsApp groups to collect customer leads, track project progress, and communicate between departments. Information shared on WhatsApp then had to be manually entered and compiled into Excel spreadsheets. This fragmented approach created several major problems:
- The “WhatsApp-to-Excel” Manual Trap: Customer leads from the website were received via WhatsApp, then manually transcribed into Excel spreadsheets. This process was not only slow but also prone to human error and miscommunication. “Previously, we just used WhatsApp and then converted it to Excel,” one of the developers recalled. “It was very difficult to keep everyone on the same page, and miscommunication was a constant risk”.

Department heads would provide templates of what they needed, and Kevin’s team would strategize and build the solutions directly in Jodoo. They used Jodoo to build interconnected applications that solved their most pressing workflow issues.
Implementation: Building the Digital Backbone
End-to-End Residential Project Management

Voltek completely digitized its residential solar project workflow. Now, when a customer is interested, they fill out an external Jodoo form linked on the website. This lead is automatically routed to the Sales department. Once the customer confirms, the workflow automatically passes the project to the Design department to create the system specifications. It then routes back to Sales for final confirmation, while simultaneously notifying the Finance department to process the booking payment. Only after all approvals are met does the project move to the execution phase. Department heads can now assign tasks directly within the system, and all team members have real-time access to customer details, drastically reducing miscommunication.
Automated Operations & Maintenance (O&M) Ticketing
To handle customer complaints and maintenance requests, Voltek replaced its messy email-to-Excel process with a streamlined Jodoo ticketing system. When a complaint is submitted, a ticket is generated instantly. The Head of Department can assign it to a supervisor directly within Jodoo. All subsequent reporting and progress updates are logged in the same system. They also built a simple dashboard to monitor pending and completed tickets in real-time.

Streamlined Hiring and Interview Management
Voltek also used Jodoo to overhaul the HR department’s hiring process. Previously, candidates emailed their resumes, and HR spent days emailing back and forth with department heads to explain candidate backgrounds and schedule interviews. Now, candidates submit their information directly through a Jodoo form. The system automatically notifies the relevant department head, who can review the candidate’s profile and make a decision directly within the app.

The recruitment approval process was compressed from 2-3 days of back-and-forth emails to just one day. “It has greatly improved our efficiency,” One of the developers noted. “The automatic notifications mean I don’t have to keep following up with managers”
