Receive, inspect and release are three different actions

Receive

Confirm physical receipt

Select the original checkout, verify the equipment and enter the actual receiving time and person. This answers whether possession has ended.

Inspect

Record the condition found

Choose the condition, check accessories and describe damage or missing parts when relevant. Do not overwrite the earlier handover condition.

Release

Decide whether reuse is appropriate

The reviewer checks the submitted facts and required follow-up. An item can be back on site and still remain unavailable.

The answer changes the work that follows

Good condition · complete accessories

Projector, adapter and case are back

The receiver confirms the item and accessories. The inspector can release it after the necessary condition checks. The completed record explains the decision without needing a defect report.

Damaged · missing accessory

The level has a broken latch and no pouch

The form asks for damage details and the missing accessory. Keep the level unavailable until the repair and missing pouch are addressed and the review is complete.

The damaged level is a filled-form illustration. It is not a claim that Jordan’s currently open sample loan has already returned.

Write details the inspector can act on

Original checkout
Select the exact loan. Confirm the item, tag and borrower before entering the receipt.
Received at
Record when the item physically arrived. Do not use the planned due time merely because it is easier to copy.
Damage details
“Case latch does not close” gives more direction than “broken.” Identify the part and observed problem without guessing a cause.
Missing accessories
Name the absent lead, charger or pouch and compare it with the actual handover record.
Inspection notes and reviewer
Explain what still needs checking and assign the decision to the appropriate person.

Keep unresolved work attached to the equipment

A thermal camera is awaiting inspection

In the sample app, Casey Morgan’s camera has been received but is not yet ready. The open inspection explains why the inventory should not promise it to another borrower.

If the reviewer needs a corrected date or clearer condition details, return the same receipt for correction. When a defect needs repair, preserve the original observation and the eventual resolution.

Do not release equipment just because one hold is closed when another unresolved restriction remains.

Arrange repair or maintenance where needed

Use different inspection questions for different equipment

An office projector and a workshop instrument should not receive the same generic checklist. An authorized business administrator can adjust condition choices, accessory requirements and reviewer assignments in Jodoo. Keep simple returns short and show follow-up questions when a problem is reported.

If an instrument also requires a valid calibration or specialist certification, confirm that requirement through the appropriate system. The return form alone does not certify measurement accuracy.

Connect return decisions with maintenance and calibration requirements

Questions at the receiving desk

Can someone other than the borrower bring the equipment back?

Record the actual receiver and receipt time against the original checkout, and note who delivered the item if your procedure requires it. The original borrower remains part of the lending history. A different delivery person should not require a replacement loan record.

What if the equipment is back but an accessory is missing?

Record the receipt, choose incomplete accessories and identify what is missing. Keep the equipment unavailable when that missing item prevents safe or complete use. The inspection or follow-up should resolve the specific missing accessory before release.

How do we correct a return that was submitted incorrectly?

Use the review task’s return-for-correction path and resubmit the same receipt with the corrected information. Preserve the original loan link and the reviewer’s explanation. Do not create a duplicate return to compensate for a wrong condition or date.

Does a late return need a different form?

No. Record the actual receipt time against the original loan. Compare it with the agreed due-back time to understand lateness. Keep any extension request or communication associated with that loan rather than changing the original handover time.

Can we receive only part of a crew’s kit?

Use the tool-room item-return records for that situation. Receive the specific issue lines that arrived and leave the other items outstanding. This single-equipment return form should not mark an entire multi-item kit returned.

Who decides whether the item can be used again?

The receiver records the facts; the assigned reviewer makes the inspection decision. Configure the members and permissions for your organization. If repair or a specialist check is needed, keep the equipment unavailable until the required work is resolved.

Close the loop without losing the condition history

Use the return form for one loan. For several tools arriving separately, follow the tool-room partial-return process.
