Use one matter list and keep the follow-up work connected

The workbook is deliberately small enough to understand. It does not imitate a legal suite or hide the working records behind a decorative dashboard.

Matters

Track matter ID, title, owner, status, priority, next action, due date, blocking work and outcome. The opening view shows an open-matter count. Days overdue and attention messages use the editable as-of date, so a saved management review remains tied to its reporting date.

Actions

Give each follow-up task its own action ID, matter ID, owner, due date, status and completion note. Mark whether it blocks closure. Use the same matter ID as the register so an action remains understandable even when the title changes.

Status report

Summarize what changed, which decision is needed and the next milestone. Use the matter ID to refer back to the working record. The report is a separate audience-facing view, not a second master matter list that must be reconciled manually.

Make an overdue commitment visible without closing the matter

A matter awaiting business context

The example “Flexible work process guidance” matter is waiting for the requester to confirm the work location and applicable policy version. Its next-action date is 19 October. With an as-of date of 20 October, the workbook shows one day overdue.

The next action remains specific

The owner can follow up for the exact missing context, revise an agreed date or record that the information has arrived. The warning does not make a legal judgment. It points to a commitment that needs attention while preserving the matter’s working status.

Closed work stays distinguishable

A completed acknowledgement-wording matter has its outcome recorded and no further action scheduled. The attention formula shows it as closed rather than treating a blank next-action date as an overdue or missing-date problem.

Set up the register before you add more columns

01

Replace the fictional examples

Keep the stable matter IDs and enter your own titles, owners and statuses. Use agreed categories so filters remain useful. Remove example names and details before circulating the workbook internally.

02

Agree on the next-action convention

Record a concrete action, a named owner and a date when a follow-up is required. An open matter with no date receives a “set next-action date” prompt. Do not use invented dates merely to remove a warning.

03

Maintain actions and reporting

Use matter IDs to link follow-up tasks and report rows to the register. Update the as-of date for each review and inspect the formulas when extending the reserved rows. The workbook does not send reminders or route approvals.

04

Choose who can access the file

Store and share the workbook under your organization’s approved access controls. A spreadsheet confidentiality note does not enforce record-level visibility. Avoid using a broadly shared file as the home for sensitive source documents.

Move to Jodoo when the handoffs outgrow a shared file

Keep the workbook when…Use the app when…
A small team can maintain one controlled file.Several people need to update the same live records.
The main job is a simple register and periodic report.Requests, actions, updates and counsel instructions need connected histories.
Review happens through a separate agreed process. The workflow needs built-in return, resubmission and closure review.
File-level access is appropriate for the information. You need to configure and test role, form and record permissions.

Keep useful data when you move from Excel

Clean the existing register before importing it. Resolve duplicate IDs, clarify statuses and distinguish the matter owner from each action owner. Preserve completed outcomes and important dates rather than importing only the current open list.

Then map the columns to the Jodoo forms and test a few representative records. Check that related actions point to the correct matter, dates retain their meaning and closed records do not appear as active work. Set up review and permissions separately: importing a status value does not establish an approval history.

The Jodoo example adds structured intake, related records, operational views and a built-in closure review. It is not a court-docketing, legal-hold or e-billing product. Keep those specialist requirements in the system selected to meet them.

Questions about legal matter tracking spreadsheet

Is the workbook editable in Excel?

Yes. The download is an XLSX workbook with editable example records, status choices and formulas. Keep the matter IDs consistent across its three sheets. If you extend the reserved rows, extend and check the formula and validation ranges as well.

Why does the workbook use an as-of date instead of today?

An explicit as-of date makes the overdue figures reproducible for a saved review. Change that date when preparing a fresh review. If you deliberately prefer a continuously updating register, you can adapt the date input to your own convention.

Does the spreadsheet enforce closure approval?

No. The workbook records statuses and follow-up work; it does not enforce built-in approval, return or role permissions. The connected Jodoo example demonstrates a separate closure review and checks before updating the selected matter.

Can I use the same workbook for a management update?

Yes. Its Status report sheet separates the period update, decision needed and next milestone. Keep that summary appropriate for the audience and use matter IDs to reference details rather than distributing all sensitive working notes.
