How this tracker helps

A resource availability tracker combines the baseline working pattern with approved changes such as leave, training, and operational support, then shows current allocations and the next usable date. It should not expose unnecessary personal information.

  • Baseline and changes stay separate
  • Return dates are visible
  • Private detail is not required for planning

Availability sources

Build the planning fact from the records that actually change it

A single Available/Unavailable choice hides too much.

SourcePlanning fact neededKeep private or authoritative elsewhere
Working patternHours and working days for the horizonEmployment contract detail
Approved leaveStart, end, hours affected, return dateSensitive medical or personal reason
TrainingDates, hours, and whether attendance is confirmedLearning assessment detail

Staffing handoff

Use availability as an input, not the whole selection decision

A free calendar slot does not prove skill or suitability.

Check

Confirm the date window

Use the same dates as the work demand and proposed allocation.

Fit

Confirm skills and level

Open the person profile and retain the evidence behind the proposal.

Load

Review existing commitments

Include protected work and the buffer required for unplanned duties.

Decide

Approve, return, or select an alternate

Record the consequence rather than silently overwriting another booking.

Data maintenance

Keep the availability record fresh without duplicating HRIS

Choose one owner and refresh rule for each input.

  • Stable person identifier

Match imported or synchronized availability to the correct person.

  • Approval state

Only approved or confirmed absence should alter committed planning assumptions.

  • Effective dates

Do not use an indefinite unavailable state when a return date exists.

  • Correction path

Let users report stale working patterns or missing support coverage.

  • Minimal detail

Expose the planning impact, not confidential absence context.

Practical questions

Questions teams ask before trusting availability data

Define sources, refresh rules, privacy limits, and the difference between an open calendar and a suitable assignment.

Should an availability tracker store only weekly hours?

Hours are a practical denominator, but they are not sufficient by themselves. The example keeps skill, role level, time zone, availability, dates, priority, and delivery health beside the hours so that a mathematically available person is not mistaken for the right person. The planning record also needs effective dates, leave or training impact, current commitments, skills, and next usable date.

Can team administrators change availability sources and views?

A trained Jodoo administrator can add fields, choices, views, routing, and dashboards without rebuilding a conventional application. Changes still need ownership, testing, and communication—especially when they affect approvals, access, or reported measures. They can adapt the App while HR-owned facts, privacy boundaries, and approval states remain clearly governed.

Should leave be entered directly in this App?

It can be for a small standalone process, but an existing HR or leave system should remain authoritative. Bring the approved dates and planning impact into the resource process and avoid copying sensitive reasons.

Does Available mean a person should be assigned?

No. Availability only says capacity may exist. The staffing decision must also consider skills, role level, time zone, current work, priority, handoff cost, and the person’s manager or capacity owner.

How often should availability be refreshed?

Refresh often enough for the planning horizon and volatility. Near-term staffing may need daily updates; medium-term forecasts can use a scheduled weekly refresh. Always show the effective dates and owner of changes.
