Keep the count, explanation and correction separate

These are different decisions. Giving each one its own record makes the result easier to trust and the remaining work easier to find.

    Set the scope

    Choose the locations, establish the cutoff and agree which item-location lines must be counted. Include empty locations where they belong in the scope.

    Record what is there

    Select the stock record, check the unit and enter the observed quantity. Capture a damaged item or unclear location as an exception, not an unexplained number.

  3. 03

    Resolve differences

    Compare the original observation with movement evidence or a separate recount. The reviewer chooses whether to request more work, accept the explanation or require an adjustment.

  4. 04

    Authorize the correction

    A separate review checks the proposed result against the current balance. Keep the before-and-after record and account for all unresolved count work before closeout.

Show the right questions for the stock being counted

In the sample: normal or damaged stock

Select “Normal” in the count form and the exception explanation stays hidden. Select “Damaged stock” and it appears beside the quantity being recorded. The item, location and original observation remain the same linked record.

The “Enter a count” gallery view shows the damaged-stock example. Counters get the relevant prompt without filling in an exception on every ordinary count.

When your procedure changes

For temperature-sensitive items, your business administrator can add a condition field and its display rule. If damage needs quality approval, configure that review step and the responsible members. These are changes to make for your operation, not a preinstalled quality-approval route.

Keep the original count and correction history connected when changing the questions or approval responsibility.

Jodoo organizes these records and decisions. It does not physically stop warehouse movements or automatically become the stock ledger of an external ERP.

Planning a count with your team

Does entering a count immediately change the stock balance?

No. A count is an observation. In this example, a discrepancy review establishes what happened and a separate adjustment request authorizes a quantity correction. The approval updates the matching sample balance; it does not post to your ERP or accounting system.

Can we count one location instead of closing the whole warehouse?

Yes. Set the locations and item-location coverage for a count run. Decide whether movements in those locations will pause or be recorded separately. Selecting a smaller scope does not remove the need to reconcile movements around the count time.

Can counters use phones?

Counters can use the forms in their installed Jodoo app on a phone. This example uses record selection and quantity entry. It is not a preconfigured offline scanning application or a repeated-scan counter. Check connectivity and your scanner requirements before choosing a counting approach.

What should we configure before using the example with real stock?

Replace the fictional items, locations and units, establish the book-balance source and cutoff, assign real members to count and review tasks, and set permissions. Confirm who is allowed to change a balance and how approved corrections reach any external inventory system.
