Track vacation and sick time by employee, policy, and period. Start with a populated Excel workbook or use the connected Jodoo app for requests and decisions.
Download a two-sheet tracker with 12 example accounts, nine leave requests, editable inputs, status dropdowns, and balance formulas. It has room for 30 accounts and 100 requests before you need to extend the ranges.
XLSX. No registration required for the download. The workbook records decisions manually; it does not send approval tasks or synchronize with the app.
The Balances sheet holds the account key, employee, leave type, policy dates, and credited hours. PTO and sick time use separate accounts. The key—not the employee’s name—connects a request to its balance.
↔Requests sheet
One row per request
The Requests sheet records the account, dates, scheduled hours, decision status, reviewer, and handover. Booked hours are calculated from Approved rows. Canceled, Rejected, Returned, and Pending rows do not deduct.
Maya’s account has 80 credited hours. A canceled 16-hour request has no current deduction, while a different approved four-hour request remains booked. Available hours: 80 − 4 = 76.
Set up the spreadsheet in four steps
1
Replace the example accounts
Enter your employee names, account keys, leave categories, policy dates, and credited hours in the amber cells. Give each account a unique key. Keep the gray formula cells intact.
2
Enter the scheduled hours
Use the employee’s actual work pattern. For a Friday-only absence on a four-hour Friday, enter four hours—not eight and not 24 elapsed hours. The file does not calculate public holidays or automatic accrual.
3
Record the agreed decision
Use the Status dropdown and enter the reviewer for approved requests. If cancellation is requested, keep the original row Approved while the decision is pending and note the request in the handover or notes. Change it to Canceled only after cancellation is agreed.
4
Review the entry warnings
The file flags duplicate request IDs, unknown account keys, invalid dates, out-of-period requests, nonpositive hours, missing status, and an approved row without a reviewer. Resolve these before relying on the totals.

Ask for a correction
Send a message and update the row
Return the request to its submitter
Record approval
Enter the status and reviewer

Decide who can change allocations and statuses. A spreadsheet dropdown is not an access-control rule or a manager approval.
Preserve the formula ranges
The supplied totals cover Balances rows 7–36 and Requests rows 7–106. Extend the formulas, validation, and summary references together if you need more space.
Reconcile before importing
The workbook’s balances are not extra credits to add on top of its requests. Import opening credits and current bookings once, then compare the resulting account balance.
Yes. The XLSX download on this page does not require registration. The connected Jodoo app is a separate option with its own account, feature, and plan requirements.
Does the spreadsheet track vacation and sick time separately?
Yes. Each person has a separate account key for each leave category and period. Select the relevant account on the request row to keep the totals separate.
Does this template calculate PTO accrual?
No. Enter credited hours for the policy period and maintain approved adjustments to that amount. The workbook calculates booked, pending, and available hours from those inputs; it does not earn hours automatically by pay period or service length.
Why is pending time shown without being deducted?
Pending hours show requested demand. Available hours in this workbook mean credited hours minus approved bookings. If you use a different definition internally, agree it before changing the formulas and labels.
Can I add more rows?
Yes. The supplied calculation ranges cover 30 account rows and 100 request rows. Beyond that, extend the ranges used by the balance formulas, request lookups, dropdowns, and checks. Do not assume adding a visual table row updates every cross-sheet reference.
